Employee Onboarding and Offboarding: The IT Checklist Small Businesses Skip

New hires wait for access, and former employees keep it. A simple, repeatable checklist for onboarding and offboarding fixes both problems.

In a small business, onboarding and offboarding usually happen from memory.

Someone creates an email account, shares a few folders, and hopes nothing was missed. When someone leaves, the account gets disabled — eventually — and the rest gets forgotten.

That creates two problems at once. New hires spend their first days waiting for access. Former employees keep access they should not have.

Why This Matters More Than It Seems

Access is not just an email account anymore. A typical employee might touch:

  • Email, Teams, and shared files in Microsoft 365
  • A CRM or job management system
  • Accounting or payroll software
  • Vendor portals and supplier accounts
  • Shared passwords for social media or the website
  • A laptop, phone, or tablet with company data on it

Each one is a place where a missed step becomes a security gap, a compliance problem, or just an awkward phone call months later.

A Practical Onboarding Checklist

Good onboarding is mostly about being ready before day one.

  1. Create the user account and assign the right license
  2. Add the person to the right groups, so file and Teams access follows their role instead of being granted one folder at a time
  3. Set up multi-factor authentication during their first sign-in
  4. Prepare their device, with updates, security settings, and the software they need
  5. Grant access to the business applications their role requires — and only those
  6. Walk them through where files live and how to ask for help

Role-based groups are the quiet hero here. If “Office Staff” or “Field Technicians” already has the right access, onboarding becomes adding someone to a group instead of rebuilding permissions from scratch.

A Practical Offboarding Checklist

Offboarding is where most of the risk lives.

  1. Block sign-in and reset the password on the last day — or the moment the decision is made, if the departure is not friendly
  2. Sign the user out of active sessions and remove their MFA devices
  3. Convert the mailbox to a shared mailbox or set up forwarding so customer emails are not lost
  4. Move important files out of their personal OneDrive before it is deleted
  5. Remove access to business applications, vendor portals, and any shared passwords they knew
  6. Recover company devices and remove company data from personal ones
  7. Remove or reassign the license so you stop paying for it
The goal of offboarding is simple: on the day someone leaves, their access leaves too.

Write It Down Once

The biggest improvement is not a tool. It is writing the checklist down.

Once the steps are documented, they can be assigned, tracked, and eventually automated. Many of them — account creation, group membership, license assignment, welcome emails — are good candidates for automation once the process is stable.

This Helps With Security Reviews, Too

If customers send your business security questionnaires, or if you are working toward something like SOC 2, onboarding and offboarding will come up. Auditors and customers want to know that access is granted deliberately and removed promptly.

A documented, repeatable process is much easier to explain than “we usually remember.”
